Set Up a Project

A project is a folder the AI remembers. You tell it once how the firm writes and what the client needs, and every chat inside it starts informed.

The same five steps in every tool

  1. Create one project for each client, and one for the firm. The firm project holds how this firm writes. Each client project holds what that client needs.
  2. Put your instructions in. Paste the source-rule prompt, and your corrected writing-style description. They then apply to every chat in the project.
  3. Add your files. The RFP, the scoring rubric, the client's past proposals, and the firm's best work in the firm project.
  4. Start the logs. A source log, an error log, a decision log, and a note of what worked. Keep them in a document, because a chat forgets.
  5. Work inside the project. Start every chat for that client there, not in a blank window.
Before any client material goes in: the pilot's rules decide which tools and which material are allowed. Check them first.

What goes in a project

  1. Standing instructions. The source rule lives here, so nobody has to paste it into each chat.
  2. Reference files. The material the AI is allowed to read for this client.
  3. A handoff note. A running summary of where things stand, so a colleague can pick the project up.
  4. An owner for the firm project. One person confirms changes, so the shared material doesn't drift.
  5. A close-out step. When a client project ends, what worked goes back into the firm project.
